Promoting a small group launch

A group launch is a sign-up with a deadline, and the promotion exists to move people from interest to a named group before the first meeting week. The constraint is the number of groups and leaders, which has to be known before the sign-up opens, so the schedule's first two weeks are leader recruitment and the second two are sign-up. The launch Sunday is the event; the groups meet the week after.

The whole church: 10 pieces over 6 weeks. Dated for Sunday, September 19, 2027, the next occurrence after the day this page was built.

What each piece carries

The information by channel

What the 10 pieces above have to say for Small group launch, channel by channel.

Newsletter

The first mention asks for leaders, with the commitment stated in weeks and hours, and names the sign-up opening date. The second mention opens the sign-up with the number of groups, the days they meet and the areas. The last call is the sign-up count and the cutoff, with the first meeting week stated.

Social

Save the date is the sign-up opening date and the number of groups. The reminder post the Friday before launch Sunday is the sign-up link and the cutoff. The day-of post is from the launch Sunday with the sign-up table's location and the cutoff.

Sunday Announcements

Announce it two Sundays before with the sign-up open and the group count. The final announcement on launch Sunday is the sign-up table's location, the cutoff and the first meeting week.

Website

The list: every group with its day, time, area, leader and what it is for, and the sign-up form that puts a person into one. Published four weeks out with the leader form on it, then the group list as groups are confirmed.

Print

A sign-up card in the seat backs and a table at the main entrance with the group list on a board. Due a week before launch Sunday.

How it is built

How Promo Engine produces this schedule

Three inputs: the event's date, the level, and the church's framework. The framework is the one above until a church edits it.

The framework is set once

Channels with a default weekday and a lead time, levels with a rule for each piece: which channel, how many weeks out, which day. A church edits the defaults to match how it publishes, and every schedule after that follows the edited rules.

A campaign is a date and a level

Enter the event, pick the level, and the pieces are written with a publish date and a due date each. Each piece is assigned to a person, who sees it on their own list and in their own calendar, with the brief and the copy attached.

Regenerating keeps the work

Change the date or the framework and the unfinished pieces move to the new dates. Finished pieces, assignments, notes and the copy already written stay where they are. Nothing is published or sent by the software; a person presses every button.
