Promoting a serve day

A serve day is a Saturday on which the church sends teams to projects around its area. The promotion is a sign-up with capacities per project, a shirt order with a print deadline, and a morning schedule the volunteers need the night before. Because the projects are fixed with partner organizations weeks ahead, the schedule starts six weeks out and the sign-up opens at four.

Whole church. Every member is asked to take a project, families can serve together, and the project count is adjusted to the sign-up numbers two weeks out. Ten pieces, with the Saturday date pulling the final Sunday announcement to the Sunday before.

Move the event and every unfinished piece keeps its weekday and its lead time. A piece in the event's own week that would land after the event is moved to the week before; the day-of post counts from the date itself.

Newsletter

The first mention gives the date, the hours and the project list with capacities, and says when the sign-up opens. The second mention opens the sign-up and the shirt order with its deadline. The last call is the sign-up count, the shirt pick-up time and the morning schedule.

Social

Save the date is the date and the project list. The reminder post the Friday before is for the signed-up: meeting time, location, what to wear and bring, lunch arrangements. The day-of post is a photograph from the morning send-off.

Sunday Announcements

Announce it two Sundays before with the sign-up open and the projects that still need people. The final announcement is the Sunday before the Saturday: the meeting time, the shirt pick-up and the projects still short.

Website

The project list with a description, a location, a capacity and an age minimum for each, the sign-up form, the shirt order and the morning schedule. Published four weeks out, the day the sign-up opens.

Print

Posters at the entrances with the date and the sign-up address, and the project list on a board in the lobby from three weeks out. Due a week before.

How it is built

How Promo Engine produces this schedule

Three inputs: the event's date, the level, and the church's framework. The framework is the one above until a church edits it.

The framework is set once

Channels with a default weekday and a lead time, levels with a rule for each piece: which channel, how many weeks out, which day. A church edits the defaults to match how it publishes, and every schedule after that follows the edited rules.

A campaign is a date and a level

Enter the event, pick the level, and the pieces are written with a publish date and a due date each. Each piece is assigned to a person, who sees it on their own list and in their own calendar, with the brief and the copy attached.

Regenerating keeps the work

Change the date or the framework and the unfinished pieces move to the new dates. Finished pieces, assignments, notes and the copy already written stay where they are. Nothing is published or sent by the software; a person presses every button.
