Promoting a men's retreat

A retreat is a weekend with a venue, a cost and a capacity, promoted to the men of the church and the men they bring. The constraint is the venue's cutoff, which is usually two weeks out, so the registration has to be open four weeks ahead. The event starts on a Friday, which pulls the Sunday announcement to the Sunday before the weekend.

One group: 6 pieces over 4 weeks. Dated for Friday, October 2, 2026, the next occurrence after the day this page was built.

The schedule

Six pieces, dated

For Men's retreat on Friday, October 2. Publish is the day a piece goes out. Due is the day it has to exist, which is the publish date less the channel's lead time: 2 days for Newsletter, 1 day for Social, 1 day for Sunday Announcements, 3 days for Website.

Move the event and every unfinished piece keeps its weekday and its lead time. A piece in the event's own week that would land after the event is moved to the week before; the day-of post counts from the date itself.

What each piece carries

The information by channel

What the 6 pieces above have to say for Men's retreat, channel by channel.

Newsletter

The first mention gives the dates, the venue, the cost, what the cost includes and the registration link. The last call is the cutoff, the departure time and the room assignment procedure.

Social

The reminder post the Friday before, which is the week before departure, is the cutoff and the departure details. The day-of post is from the departure or the first session, posted for the men who could not come.

Sunday Announcements

Announce it two Sundays before with the registration count and the cutoff, in the main service, because the men are in the main service.

Website

Registration, cost and what it includes, the schedule for the weekend, the venue address, departure and return times, what to bring, and the speaker. Published three weeks out.

How it is built

How Promo Engine produces this schedule

Three inputs: the event's date, the level, and the church's framework. The framework is the one above until a church edits it.

The framework is set once

Channels with a default weekday and a lead time, levels with a rule for each piece: which channel, how many weeks out, which day. A church edits the defaults to match how it publishes, and every schedule after that follows the edited rules.

A campaign is a date and a level

Enter the event, pick the level, and the pieces are written with a publish date and a due date each. Each piece is assigned to a person, who sees it on their own list and in their own calendar, with the brief and the copy attached.

Regenerating keeps the work

Change the date or the framework and the unfinished pieces move to the new dates. Finished pieces, assignments, notes and the copy already written stay where they are. Nothing is published or sent by the software; a person presses every button.
