Promoting youth summer camp

Camp is promoted to students and their parents, which is one group, and the promotion is a registration with a cost, a deposit deadline and a cutoff set by the camp. The audience is small and known, so the run is four weeks and uses the channels parents read: the newsletter, the website, the student ministry's social account and the Sunday announcement. The camp week starts on a Monday.

One group: 6 pieces over 4 weeks. Dated for Monday, July 12, 2027, the next occurrence after the day this page was built.

Level: one group

One group. Students and their parents are the whole audience, the capacity is the bus or the cabin count, and nothing about the week concerns a member without a student. Six pieces over four weeks, with the deposit deadline on every one.

The schedule

Six pieces, dated

For Youth summer camp on Monday, July 12. Publish is the day a piece goes out. Due is the day it has to exist, which is the publish date less the channel's lead time: 2 days for Newsletter, 1 day for Social, 1 day for Sunday Announcements, 3 days for Website.

Move the event and every unfinished piece keeps its weekday and its lead time. A piece in the event's own week that would land after the event is moved to the week before; the day-of post counts from the date itself.

What each piece carries

The information by channel

What the 6 pieces above have to say for Youth summer camp, channel by channel.

Newsletter

The first mention gives the dates, the cost, the deposit and its deadline, and the registration link. The last call is the cutoff date, the balance due date and the packing list link.

Social

The reminder post the Friday before is for registered students: departure time, location, what to bring, the packing list. The day-of post is from the departure, posted for the parents.

Sunday Announcements

Announce it two Sundays before departure with the registration count and the cutoff. Made in the student service, not the main one, because the audience is in the student service.

Website

Registration, cost, deposit and balance dates, the cutoff, the packing list, the medical form, departure and return times, and the camp's address. Published three weeks out, the day registration opens.

How it is built

How Promo Engine produces this schedule

Three inputs: the event's date, the level, and the church's framework. The framework is the one above until a church edits it.

The framework is set once

Channels with a default weekday and a lead time, levels with a rule for each piece: which channel, how many weeks out, which day. A church edits the defaults to match how it publishes, and every schedule after that follows the edited rules.

A campaign is a date and a level

Enter the event, pick the level, and the pieces are written with a publish date and a due date each. Each piece is assigned to a person, who sees it on their own list and in their own calendar, with the brief and the copy attached.

Regenerating keeps the work

Change the date or the framework and the unfinished pieces move to the new dates. Finished pieces, assignments, notes and the copy already written stay where they are. Nothing is published or sent by the software; a person presses every button.
