Promoting a Good Friday service

A Good Friday service is promoted alongside Easter and competes with it for attention, so the schedule's job is to make the Friday service a known fixture rather than a footnote on the Easter page. The event is on a Friday, which changes the arithmetic: the final Sunday announcement moves to the Sunday before, and the newsletter's last call lands the day before the service.

Move the event and every unfinished piece keeps its weekday and its lead time. A piece in the event's own week that would land after the event is moved to the week before; the day-of post counts from the date itself.

Newsletter

The first mention gives the date, the time and the length of the service, and says what kind of service it is: a reading service, a communion service, a service with music. The second mention adds whether children attend and what is provided if they do not. The last call, the Thursday before, is the time and the address in two lines, placed above Easter's own copy.

Social

Save the date is the time, on an image that is visibly different from the Easter image so the two are not confused. The reminder post the Friday before gives the time and the length. The day-of post goes out in the morning with the time repeated, since the service is in the evening at most churches.

Sunday Announcements

Announce it two Sundays before, with the time and the length. The final announcement is the Sunday before the service, because the Sunday after it is Easter; this is the pull-back the schedule applies to any event that is not on a Sunday.

Website

One page for Good Friday and Easter together, with Good Friday listed first until it has happened. Time, length, address, what kind of service, whether there is childcare. Published four weeks out.

Print

A line on the Easter poster and the Easter card rather than a poster of its own: the Friday time under the Sunday times. Print is due a week before it goes up.

How Promo Engine produces this schedule

Three inputs: the event's date, the level, and the church's framework. The framework is the one above until a church edits it.

The framework is set once

Channels with a default weekday and a lead time, levels with a rule for each piece: which channel, how many weeks out, which day. A church edits the defaults to match how it publishes, and every schedule after that follows the edited rules.

A campaign is a date and a level

Enter the event, pick the level, and the pieces are written with a publish date and a due date each. Each piece is assigned to a person, who sees it on their own list and in their own calendar, with the brief and the copy attached.

Regenerating keeps the work

Change the date or the framework and the unfinished pieces move to the new dates. Finished pieces, assignments, notes and the copy already written stay where they are. Nothing is published or sent by the software; a person presses every button.
