Promoting Christmas Eve services

Christmas Eve is the second-highest attendance of the year and the one most likely to run several services in one day. The promotion is mostly logistics: which times exist, which one fills first, where to park, and whether a service is suitable for small children. December 24 moves through the week, so the schedule's weekday pieces move with it each year.

Move the event and every unfinished piece keeps its weekday and its lead time. A piece in the event's own week that would land after the event is moved to the week before; the day-of post counts from the date itself.

The information by channel

What the 10 pieces above have to say for Christmas Eve service, channel by channel.

Newsletter

The first mention names the date and the earliest and latest service times, and says the full list follows. The second mention is the full list with a one-line description of each (candlelight, family, late), which one usually fills, and the parking plan. The last call repeats the list and asks members to arrive twenty minutes early at the fullest service.

Social

Save the date is the date and the number of services. The reminder post lists every time with its description. The day-of post goes out in the morning of December 24 with the times, since most of the audience decides that day.

Sunday Announcements

Announce it two Sundays before with the full list and the ask to invite. The final announcement is the last Sunday before the 24th; when the 24th is a Sunday it is that morning, and the schedule places it there.

Website

The page lists every service with its time, length, description, childcare provision and which room, with the address and a map link at the top. It is the page every post and every printed card points to, published four weeks out and updated the day any time changes.

Print

A card members can hand to neighbors with every service time on it, and a poster at each entrance with the same list. Due a week before the Friday it goes up.

How Promo Engine produces this schedule

Three inputs: the event's date, the level, and the church's framework. The framework is the one above until a church edits it.

The framework is set once

Channels with a default weekday and a lead time, levels with a rule for each piece: which channel, how many weeks out, which day. A church edits the defaults to match how it publishes, and every schedule after that follows the edited rules.

A campaign is a date and a level

Enter the event, pick the level, and the pieces are written with a publish date and a due date each. Each piece is assigned to a person, who sees it on their own list and in their own calendar, with the brief and the copy attached.

Regenerating keeps the work

Change the date or the framework and the unfinished pieces move to the new dates. Finished pieces, assignments, notes and the copy already written stay where they are. Nothing is published or sent by the software; a person presses every button.
