Promoting a Christmas concert

A Christmas concert or children's program is a Saturday event with a fixed room, which means seating is the constraint and the promotion has to manage it: free tickets or a sign-up, a start time people arrive before, and a second performance if the first fills. The schedule starts six weeks out because the rehearsal calendar is already fixed and the audience is mostly members' families.

Move the event and every unfinished piece keeps its weekday and its lead time. A piece in the event's own week that would land after the event is moved to the week before; the day-of post counts from the date itself.

The information by channel

What the 10 pieces above have to say for Christmas concert, channel by channel.

Newsletter

The first mention gives the date, the time, the room and whether tickets or sign-ups are needed. The second mention opens the sign-up, names the capacity and says when a second performance would be added. The last call states how many seats remain, or that it is full and where the overflow is.

Social

Save the date is the date, the time and the sign-up link. The reminder post the Friday before is for ticket holders: doors open at, seating is unreserved, where to park. The day-of post is a photograph of the room before doors open, with the start time.

Sunday Announcements

Announce it two Sundays before with the sign-up open. The final announcement is the Sunday before the Saturday, with the seat count and the arrival time.

Website

The page holds the sign-up, the time, the length, the room, and the arrival instructions: doors, seating, parking, and whether the program is suitable for toddlers. Published four weeks out so the first newsletter mention can link it.

Print

A poster in the children's wing and at the entrances, with the date, the time and the sign-up address. Due a week before it goes up.

How it is built

How Promo Engine produces this schedule

Three inputs: the event's date, the level, and the church's framework. The framework is the one above until a church edits it.

The framework is set once

Channels with a default weekday and a lead time, levels with a rule for each piece: which channel, how many weeks out, which day. A church edits the defaults to match how it publishes, and every schedule after that follows the edited rules.

A campaign is a date and a level

Enter the event, pick the level, and the pieces are written with a publish date and a due date each. Each piece is assigned to a person, who sees it on their own list and in their own calendar, with the brief and the copy attached.

Regenerating keeps the work

Change the date or the framework and the unfinished pieces move to the new dates. Finished pieces, assignments, notes and the copy already written stay where they are. Nothing is published or sent by the software; a person presses every button.
