Promoting Easter Sunday

Easter is the service with the highest attendance of the year at most churches, and the one with the most first-time guests. The promotion has two audiences with different needs: members, who need the service times and a reason to invite, and guests, who need the address, the times, parking and what to do with children. The schedule below starts six weeks out because an invitation takes two conversations and the second one happens two weeks after the first.

Whole church. Every member is asked to invite, every service is affected, and the staffing (parking, greeters, children's check-in) is set by the numbers the promotion produces. Ten pieces across all five channels is the smallest run that reaches a member three times and a guest once.

Move the event and every unfinished piece keeps its weekday and its lead time. A piece in the event's own week that would land after the event is moved to the week before; the day-of post counts from the date itself.

What each piece carries

The information by channel

What the 10 pieces above have to say for Easter Sunday, channel by channel.

Newsletter

The first mention carries the date and every service time, including any added service, and says that members will be asked to invite. The second mention adds the children's program by age, parking and the invitation card. The last call, the Thursday before, repeats the times and names what a guest should do on arrival in one sentence.

Social

Save the date is the service times and nothing else, on an image that can be reshared. The reminder post the Friday before is written for a guest, not a member: address, times, and that children are provided for. The day-of post is a photograph from the morning service, posted before the second service begins.

Sunday Announcements

The announcement two Sundays before asks every member to invite one person and says the cards are at the doors. The final announcement, Palm Sunday, repeats the times and tells members where to park so guests get the near spaces.

Website

The page is the one every post links to. Service times at the top, the address with a map link, parking, the children's program by age, and a plain-language line on what to expect for someone who has not been in a church. Published four weeks out so it exists before the first social post links it.

Print

Invitation cards in members' hands three weeks out, with the times and the address printed on them, and a poster at every entrance. Print is due a week before it goes up because a printer's turnaround is a week.

How Promo Engine produces this schedule

Three inputs: the event's date, the level, and the church's framework. The framework is the one above until a church edits it.

The framework is set once

Channels with a default weekday and a lead time, levels with a rule for each piece: which channel, how many weeks out, which day. A church edits the defaults to match how it publishes, and every schedule after that follows the edited rules.

A campaign is a date and a level

Enter the event, pick the level, and the pieces are written with a publish date and a due date each. Each piece is assigned to a person, who sees it on their own list and in their own calendar, with the brief and the copy attached.

Regenerating keeps the work

Change the date or the framework and the unfinished pieces move to the new dates. Finished pieces, assignments, notes and the copy already written stay where they are. Nothing is published or sent by the software; a person presses every button.
