Promoting a Baptism Sunday

A Baptism Sunday is promoted to two groups at once: the people who might be baptized, who need to know how to sign up and what preparation involves, and the whole church, who are asked to come and to invite the families of those being baptized. The sign-up is the thing the schedule is built around, because the service's length and the preparation class depend on the count two weeks out.

The whole church: 10 pieces over 6 weeks. Dated for Sunday, November 1, 2026, the next occurrence after the day this page was built.

The size

Level: the whole church

Whole church. The service is a regular Sunday with the baptisms in it, every member attends, and the sign-up ask is made to everyone because the people who respond are rarely the ones a staff member would have guessed. Ten pieces.

The schedule

Ten pieces, dated

For Baptism Sunday on Sunday, November 1. Publish is the day a piece goes out. Due is the day it has to exist, which is the publish date less the channel's lead time: 2 days for Newsletter, 1 day for Social, 1 day for Sunday Announcements, 3 days for Website, 7 days for Print.

Move the event and every unfinished piece keeps its weekday and its lead time. A piece in the event's own week that would land after the event is moved to the week before; the day-of post counts from the date itself.

What each piece carries

The information by channel

What the 10 pieces above have to say for Baptism Sunday, channel by channel.

Newsletter

The first mention explains in two sentences what baptism is at this church and opens the sign-up with the date and the preparation class time. The second mention repeats the sign-up with the class date and says what happens on the day: when to arrive, what to wear, who may come. The last call is the sign-up cutoff and the service time.

Social

Save the date is the date and the sign-up link, written to someone considering it rather than to the church. The reminder post the Friday before is for the families of those being baptized: time, seating, where to meet afterwards. The day-of post is a photograph after the service, with names only where permission was given.

Sunday Announcements

Announce it two Sundays before with the sign-up open and the class date. The final announcement is the Sunday before, with the count, the arrival time for candidates and the request that members fill the back rows so families have the front.

Website

The page is the sign-up and the answers: what baptism is here, who can be baptized, the preparation class date, what to wear, how long the service runs, and whether family can come. Published four weeks out.

Print

A card at the welcome desk with the date, the class time and the sign-up address, and the same three facts on the pre-service slides from three weeks out. Due a week before it goes out.

How it is built

How Promo Engine produces this schedule

Three inputs: the event's date, the level, and the church's framework. The framework is the one above until a church edits it.

The framework is set once

Channels with a default weekday and a lead time, levels with a rule for each piece: which channel, how many weeks out, which day. A church edits the defaults to match how it publishes, and every schedule after that follows the edited rules.

A campaign is a date and a level

Enter the event, pick the level, and the pieces are written with a publish date and a due date each. Each piece is assigned to a person, who sees it on their own list and in their own calendar, with the brief and the copy attached.

Regenerating keeps the work

Change the date or the framework and the unfinished pieces move to the new dates. Finished pieces, assignments, notes and the copy already written stay where they are. Nothing is published or sent by the software; a person presses every button.
